The Collective Synergy Limited (“we”, RC 9559637, 4 Ogudu GRA, Gate A, Salaudeen Akano Street, Lagos, Lagos State, Nigeria) is the data controller for Cadence. This page explains what personal data we collect, why, who we share it with and your rights under the Nigeria Data Protection Act 2023 (NDPA). Our data protection contact is admin@thecollectivesynergy.com.

1. What we collect

  • Account details: your name, email address, optional company name and a sign-in credential. We also keep the sign-in codes we email you only long enough to check them.
  • Event content: event titles and dates, run-of-show segments, speaker names and titles, notes, team members you invite and files you upload.
  • Activity records: an audit log of who started, paused or changed the timer and the run of show, with times.
  • Payment records: the amount, date, reference and status of each payment. Card and bank details go straight to Paystack; we never see them.
  • Partner details: for partners, the bank account details you give us to receive commission, verified through Paystack.
  • Technical data: a sign-in session cookie and basic server logs such as IP address and request time, used to keep the service secure.

2. Why we use it, and our legal basis

  • To provide Cadence and run your events (performance of our contract with you).
  • To take payment, issue receipts, pay partner commission and keep the records tax and company law require (contract and legal obligation).
  • To email you sign-in codes, invitations, payment confirmations and the timing report for your event (contract).
  • To keep the service secure and prevent fraud and misuse (our legitimate interests).
  • To answer your questions and improve Cadence (our legitimate interests). We do not sell personal data and we do not use it for advertising.

3. People named in your events

When you add a speaker, team member or invitee, you give us their details. Please make sure they know, and have only added what you need. If you are named in someone else’s event and want your details changed or removed, tell the event organiser or write to us.

4. AI features

When you use the run-of-show import or AI prompt, the text you submit (or text taken from your uploaded document) is sent to our AI provider, Google, to turn it into agenda items. We send only what is needed for that request and do not include your account details. Do not submit anything you are not allowed to share.

5. Who we share data with

We use a small number of service providers who process data for us under their own security and data-processing terms:

  • Paystack Payments Limited for payments and verifying partner bank accounts.
  • Supabase for our database and authentication.
  • Cloudflare for hosting and network security.
  • Resend for sending email.
  • Google for the AI features in section 4.

Some of these providers process data outside Nigeria. Where they do, we rely on the safeguards the NDPA allows, such as contractual protections. We may also disclose data where the law or a court requires it, or to protect our rights. We do not otherwise share your data.

6. How long we keep it

  • Account and event data: while your account is active, then until you ask us to delete it, unless we must keep it by law.
  • Payment and invoice records: for as long as Nigerian tax and accounting rules require, currently six years.
  • Sign-in codes: minutes. Server logs: a short period for security.

7. Security

Data is encrypted in transit and access to the database is limited to our servers. Access to each event is restricted to its owner, invited team members and a small number of authorised Collective Synergy staff who support the platform. No online service is perfectly secure; if a breach affects your data we will tell you and the Nigeria Data Protection Commission as the law requires.

8. Cookies

We use one strictly necessary session cookie to keep you signed in, plus local browser storage for settings such as your last view. We do not use advertising or tracking cookies.

9. Your rights

You can ask us to access, correct, delete or export your personal data, to restrict or object to some processing, and to withdraw consent where we rely on it. Write to admin@thecollectivesynergy.com; we will reply within one month. You also have the right to complain to the Nigeria Data Protection Commission (ndpc.gov.ng).

10. Children

Cadence is for businesses and organisers. It is not meant for anyone under 18 and we do not knowingly collect their data.

11. Changes

We will update this page when our practices change, and show the date at the top. For anything that matters to you, we will email you. See also our Terms of Service.
